Color-coding is one of the simplest ways to bring order to a busy schedule. In Calendars Pro, you can assign distinct colors to your calendars, individual events, and task lists, making it easy to tell work apart from personal time, spot appointments instantly, and visually group related items. Here's how to set everything up on Mac and iOS.
Color-coding calendars
Assigning a color to an entire calendar is the quickest way to organize your view. Every event from that calendar will automatically inherit the color you choose.
These are the steps for iOS:
- Tap the three-line icon in the top left (skip this step on iPad).
- Choose the calendar account, tap the three dots, then tap Edit Calendars.
- Tap the field with the calendar's name and select a color.
- Tap Save.
On your Mac, follow these instructions:
- Tap the three-line icon.
- Scroll to the bottom and tap Edit Calendars.
- Tap the field with the calendar's name (the one with an arrow) and select a color.
- Tap Save on the next screen.
Color-coding individual events
Sometimes a single event needs to stand out — a deadline, a birthday, a trip. You can override the calendar's color for just that one item. The steps are the same on both macOS and iOS:
- Tap the event, then tap Edit.
- Under Custom Event Color, select a color.
- Tap Save.
Alternatively, you can simply move the event to a different calendar to change its color.
Color-coding task lists
Calendars also lets you color-code task lists — think of them as hashtags for your tasks. You might label work tasks blue, personal tasks yellow, appointments green, and so on.
On iOS, create a new list:
- Open the Calendars app.
- Tap Planner in the top right (on iPad, go to the Tasks tab).
- Tap + Add a new list.
- Enter a title.
- To change the color, tap the three dots and select Change List Color.
Сhange an existing list's color:
- Open the list options: tap and hold the task list (iPhone), or tap the three dots next to it (iPad).
- Select Change List Color (iPhone) or Edit (iPad).
- Choose the color you want.
On Mac, follow these steps:
- Open Calendars for Mac.
- Click the Tasks tab at the top.
- Click + in the My List section of the sidebar.
- Add a title.
- To edit a list, right-click it and choose the option you need.
Once you've set up your color system, your calendar becomes much easier to read at a glance, and the categories you create for tasks carry over into your planning. Pick a palette that makes sense to you and stay consistent across your devices for the best results.
